What Happens to Data When an Account is Deactivated?

Understand how user data is handled after deactivating a Heads Up account.

At Heads Up, we understand the importance of knowing what happens to your data. This article explains the process and options for individual users' and organizations' data when an account is deactivated.

Organizations and Clients:

  1. Account Status After Subscription Ends: For organization practitioners and clients, accounts remain active in the system with certain features disabled if the organization's subscription is not renewed.

  2. Deleting an Organization: Organizations have the option to hard delete their organization, leading to the removal of all associated client data and organization settings from our system.

  3. Archiving a Client's Account: You can choose to archive a client's account, which keeps their data in our system but will cease to update their account with new data.

  4. Deleting a Client's Account: You can choose to delete a client's account, which results in the permanent removal of their data from our system.

  5. Data Backup: Before deleting a client's account, you or the client can use the export your data tool to back up your data in CSV format.

Consumer Users:

  1. Account Status After Subscription Ends: If your subscription is discontinued, your account remains in our system but will cease to update with new data.

  2. Deleting your Account: Consumer users can choose to delete their account, which results in the permanent removal of their from our system.

  3. Data Backup: Before deleting your account, you can use the export your data tool to back up your data in CSV format.

Additional Information:

  • Data Deletion Policy: We do not automatically delete data for canceled subscribers. It is the responsibility of the account holders to delete their data. However, we may choose to delete data to conserve storage space.

  • Terms of Data Use: Any remaining data in our system is governed by the terms agreed upon by the account holder at the time of joining. This includes the potential use of anonymized data by Heads Up.

  • Client/Patient Data Archival: We offer an archival feature for client or patient data. In this mode, data is accessible in read-only format by the client, but cannot be modified by organization practitioners. Organizations must decide to either archive or delete specific client data.

  • Backup Before Deletion: Users may use the GDPR export tool to back up their data before proceeding with account deletion.
